Your privacy in the member app

This Privacy Policy explains how the UAP QC Capitol and UAP Tandang Sora chapter member mobile apps (the “Apps”) collect, use, disclose, and protect information. The Apps are member portals for chapter services, and are operated by the applicable chapter administrators.

Information we collect
Account and member information
When you sign in, the Apps process the identity you provide (such as username, email address, or PRC number) and your password to authenticate your member account. The Apps receive member details from the chapter portal, which may include your name, email, username, PRC number, contact details, company, position, practice field, chapter, profile photo, membership standing, and directory visibility preference.
Member activity and submissions
When you use member features, the portal may record event registrations or cancellations, announcements you mark as read, mission submissions and remarks, rewards claims, profile changes, directory visibility changes, and password changes. If you choose to submit payment proof or mission evidence, the selected image or file is uploaded to the chapter portal and associated with your member record. The Apps do not process card payments and you should not submit full payment-card numbers.
Notifications
After sign-in, and only after the device permission flow, the Apps may receive an Expo push token and send the token, platform, and active status to the chapter portal so chapter notifications can be delivered. You can deny notification permission or turn it off in your device settings. We do not use the push token to track your location.
Technical information
The Apps and their API may process ordinary request and security metadata, such as IP address, device/platform information, timestamps, and error or security logs, to operate, protect, troubleshoot, and audit the service. The Apps do not request precise location, contacts, microphone access, or advertising identifiers, and they do not include in-app advertising or third-party analytics SDKs.
How we use information
- Authenticate eligible chapter members and keep the member portal secure.
- Provide dashboards, announcements, news, events, directory, dues, missions, rewards, profile, and member support features.
- Review member-submitted payment proof and mission evidence.
- Send chapter notifications when you grant device permission.
- Maintain service reliability, prevent misuse, investigate security incidents, and meet legal or chapter administration requirements.
- Respond to support, privacy, access, correction, or deletion requests.
When information is shared
We share information only as needed to provide the Apps and chapter services. This may include authorized chapter administrators and service providers that host the portal, store uploads, deliver push notifications, or provide infrastructure. Providers may process information only for the service they provide and under their applicable terms. We may also disclose information when required by law, to protect rights and safety, or during a permitted organizational or service transition.
We do not sell member information or use it for behavioral advertising. The member directory is opt-in; only fields authorized by the portal are shown to other eligible users when you enable directory visibility.
Security and retention
The Apps use HTTPS for production API connections and store the short-lived bearer token in the device’s secure storage. No password is stored by the mobile client. We retain account, activity, uploaded evidence, and notification records for as long as reasonably necessary to operate chapter services, resolve disputes, satisfy legal or financial obligations, and maintain security. Retention periods vary by record and chapter policy; records are deleted or anonymized when no longer required, subject to backup and legal constraints.
Your choices and requests
- Turn push notifications off through your device settings.
- Change profile details and directory visibility in the App where those controls are available; use the password-recovery link on the sign-in screen for password assistance.
- Ask the chapter to access, correct, export, restrict, or delete personal information by emailing kristoffer.tabong@kdtdatasolution.com. We may need to verify your identity and may retain information required by law or legitimate chapter administration.
- Sign out to remove the active local session token. Signing out does not automatically delete chapter records; contact support for an account or data-deletion request.
Children
The Apps are intended for registered chapter members and are not directed to children. We do not knowingly collect personal information from children through the Apps. If you believe a child has provided information, contact us so we can review and remove it where appropriate.
Changes to this policy
We may update this policy when the Apps, chapter services, or legal requirements change. The “Last updated” date above will change with substantive revisions. Continued use of an App after an update means the revised policy applies to future use.
